Execution & industrialisation

Custom AI agent design: from prototype to production, in 90 days.

Where a chatbot answers, an AI agent executes. We design agents wired into your tools — CRM, ERP, document base — to absorb high-cognition repetitive work, standardise quality, and scale without hiring endlessly.

Open stack · EU · No open-ended T&M

Foundations

What an AI agent is — and why have one designed

Where a chatbot answers, an AI agent executes. It takes an objective (qualify a lead, handle a support ticket, draft a report) and combines an LLM, your internal tools (CRM, ERP, document base), memory, and an orchestrator to reach that objective without human intervention. It is the first building block of an augmented organisation.

A well-designed AI agent delivers three things for your company:

  • It absorbs high-cognition repetitive work (net time savings).
  • It standardises quality (every response goes through the same filters).
  • It scales (volumes can double without hiring).
Use cases

5 AI agent archetypes we design

The five AI agent families we deploy most often for SME and mid-market clients.

  • 01Augmented support agent: reads the knowledge base + customer history, answers standard tickets, escalates intelligently.
  • 02Sales agent: enriches every inbound lead (LinkedIn, site, news), scores against ICP, drafts a personalised message, books a meeting.
  • 03Internal research agent: connected to Drive / SharePoint / Notion, answers internal questions citing sources and respecting permissions.
  • 04Meeting / minutes agent: transcribes, summarises, identifies actions, updates CRM + project tools.
  • 05Quote / RFP agent: reads the brief, pulls from your past proposals, generates a personalised outline for review.
Method

Our 4-phase design method

  1. Phase 11 week01

    Framing

Kick-off meeting, scope definition, data access, stack choice, success KPIs. Deliverable: design brief, detailed plan, firm quote.

  2. Phase 22 weeks02

    Prototype

Build a functional POC for 5–10 internal users. We validate three things: response quality, user adoption, and marginal cost per interaction. If any signal is red, we pivot.

  3. Phase 36 to 10 weeks03

    Industrialisation

Robustness, monitoring, security, error handling, access and permissions, power-user training, documentation. Load tests if needed. Progressive production rollout.

  4. Phase 4Ongoing04

    Run and extension

Evolutionary maintenance, hallucination monitoring, continuous optimisation. Identification of next use cases. Progressive handoff to your internal team.

Technical

Technical stack: open, modular, sovereign when needed

We are not tied to any vendor. We choose building blocks based on your case, GDPR constraints, and budget.

Standard Katalyx stack for AI agent design:

  • LLMGPT-4 Turbo or Claude Sonnet via Azure OpenAI EU for robustness. Mistral Large for sovereignty.
  • RAGVector DB: Pinecone or Qdrant. Pgvector as an open-source alternative.
  • Orch.LangChain, LlamaIndex, or custom Python depending on complexity.
  • UXAgent frontend: Next.js web app, Slack / Teams integration, or WhatsApp Business via Twilio.
  • Host.Azure EU, AWS Paris, or OVHcloud / Scaleway for sovereign cases.
  • Obs.Langfuse or Helicone to trace every interaction, measure quality, and detect drift.
Budget

Typical pricing (transparent, no surprises)

We work on fixed fees, never open-ended time & materials. You know what you pay before you sign.

  • Pilot (POC) — €4,500 to €7,500 excl. VAT

2 weeks, one use case, 5–10 users, closed scope.

  • Production agent — €12,000 to €35,000 excl. VAT

POC + industrialisation + training + 3 months of support included.

  • Complex agent — €35,000 to €80,000 excl. VAT

    Multi-system, multi-user, mission-critical — by quote.

  • Monthly run — from €1,200 / month

Maintenance, monitoring, optimisation, minor feature additions.

FAQ · AI agent design

Six questions with no taboos

Data security, GDPR, hallucinations, taking over an existing build: the topics to settle before writing the first line of code.

  • How long until an agent is in production?

90 days on average from kick-off to full production. The prototype is usable internally from week 3.

  • Is my data used to train the AI?

No. We only use enterprise offerings that contractually forbid reuse of your data (Azure OpenAI, Anthropic Enterprise, Mistral B2B). That clause is written into your contract.

  • Are you GDPR and AI Act compatible?

Yes, by default. EU hosting, DPA contracts signed with each subcontractor, processing documentation, risk register, user training.

  • What if my data is truly sensitive (medical, defence, legal)?

We then deploy a sovereign stack: self-hosted Mistral Large on OVHcloud / Scaleway / on-prem, on-prem Qdrant vector DB, zero calls to a third-party LLM. Timeline +2 weeks, budget +25–40%.

  • What happens if the agent hallucinates or gets it wrong?

We limit hallucinations with three levers: RAG (the agent cites its sources), guardrails (validation system), fallback (human escalation on low-confidence cases). We monitor continuously and fix reported cases within 48 hours.

  • Can you take over an agent already built by another provider?

Yes. We start with a code and architecture audit (1–3 days depending on complexity), diagnose quick wins and technical debt, and propose a roadmap. Takeover audit fee: €1,800 to €3,800 excl. VAT.
